June Lake Loop Chamber of Commerce Board Meeting Minutes
Date: February 13, 2019
*Meeting was moved to Janet Hunt’s house and Google Hangout link was sent out due to inclement weather.
1. Call to Order: 6:11pm by Janet Hunt.
2. Members Present: Lindsey Chargin, Janet Hunt, Mitch McMullen, Abigail Ross/On Google Hangout - Joseph Bogorad and Jamie Schectman
3. Approval of January Minutes: Abigail motioned, Jamie Seconded, Approval passed unanimously.
4. Treasurer’s report: Joseph gave report via Google Hangout text.
Cash: $279.43
Checking Account: $15,586.15
Paypal: transferred to checking
TOTAL Assets: $15,865.58

a. Financials transfer update
- i. Need to switch checking account to names of treasurer, secretary, and president.
- b. Quickbooks - https://quickbooks.intuit.com/products/ - Joe reviewed Gnucash (current open source program) and feels good about using it. No Quickbooks for now.
- c. Govt. Filing - “epostcards” under $50,000
- i. Not necessary until forms submitted to the Federal government.
5. Committee Reports:

- a. Marketing (Jamie)
- i. Marketing committee met to discuss marketing spend and marketing approach.

ii. Next meeting = 2/21/19 (Focus = marketing budget)
- 1. Abigail motioned to allocate at least $5000/yr to spend on marketing (more can be allocated upon request), Mitch seconded, approved unanimously.
- iii. Still growing Instagram account and working on social media posting approach.

iv. T-Bar is getting a commercial printer/copier and will give the Chamber a discounted price to print/copy.
- 1. Will start printing “This Week in the Loop” and distributing to businesses soon.
- b. Bylaws - Janet, Joseph and Abigail
- i. Working on changes. Will have by membership meeting later in the year.
- c. Events

i. Leaves in the Loop (Chairs - Lindsey, Joseph) - 10/18/19-10/20/19

1. No big changes. Have committee and planning document.
- a. Jamie has spoken to a woman from Mammoth that wants to do a bike ride based around Colors in the Loop.
- 2. Thanks to Janet, Joe and Sarah, the Chamber was awarded two grants. $1,200 from CEMF and $1,500 from P&VA.
- 3. Will have more event information as we get closer.

ii. Winter Fest (Chair - Lindsey) - 3/2
- 1. Need to print posters on T-Bar printer.
- 2. Janet & Lindsey having work session soon, regarding details.
- 3. Will discuss need for event in the future and pre-plan in the future.

iii. Fishing Summit (Chair - Mitch)
- 1. Fishing report that Mitch put together is attached.
- 2. Thoughts are that maybe we shouldn’t do a “summit”, as much as a community fishing event that invites people to participate.
- 3. Date will be on a not crowded weekend.

6. Old Business:

- a. CEMF and P&VA Grants report - Chamber was awarded $1200 CEMF and $1500 P&VA grants
- b. Website - schedule storyboarding meeting, who to participate
- i. Date TBD.
- ii. Dan Roberts will participate along with Janet Hunt and John DeCoster.
- c. 501(c)6 non-profit application status (Janet)
- i. Dan did submit. Janet following up.
- d. Chamber Annual Calendar Review (Janet) - in Feb board meeting folder

7. New Business:

- a. Director/Officer Insurance - Does anyone want to take this on? Need to check with Dan on current insurance and the June Lake Loop Women’s Club on their policy. Jamie spoke with his insurance broker and will get back to us with quote.
- b. Google Voice Phone Number - We have number that people call for information, Dan responds. Marketing committee suggested getting rid of it. Janet will talk to Dan regarding use. We could assign answering messages to other Board members.
- c. JL Fishing Analysis (Mitch) - See event report.
- d. Membership drive strategies general discussion
- i. Extensive discussion took place on free rider issue and what we’re offering to members.
- ii. Will look at member and non-member list for reaching out.
- e. Workshops for members - Jeff Simpson, social media marketing 4/3?
- i. Sending survey to members to see what is valuable, what are businesses interested in. What would you like to learn more about?
- f. Email accounts?
- i. If anyone wants a chamber email, Dan can set it up.
- g. Other - LED Projector?
- i. Do we have one?
8. Items from the Floor:
-Mitch commented that the June Lake Loop is worthy of a video/small series regarding all of the things it offers.
